Most businesses do not run one piece of software. They run six, ten, sometimes twenty, an accounting package, a CRM, an HR system, a warehouse or fleet tool, a website, maybe a few spreadsheets holding the whole operation together in secret. Software application integration is the practice of connecting these systems so they share data and talk to each other automatically, instead of your team copying numbers from one screen to another by hand.

Done well, integration removes the manual re-keying that eats hours every week, closes the gap between systems that quietly drift out of sync, and gives you one accurate picture of the business instead of five conflicting ones. Done badly, or not at all, it is the reason stock counts do not match, invoices get billed twice, and nobody fully trusts the numbers in the monthly report.

Why integration matters more than it used to

Ten years ago, a small business could get away with a handful of disconnected tools and a lot of copy paste. That is harder to justify now. Customers expect real time answers. Case example: digitising manual records for a cross border fleet

Trio Vervoer, a transport company operating across South Africa and Namibia, tracked tyre performance across its truck fleet using manual spreadsheets and paper records, making it hard to monitor safety, control costs, or trust the rotation and mileage history for any given tyre.

Netgen built a web based tracking system (C#, .NET Core, MySQL) that fleet staff could use across devices. Critically, this was not a clean start: we built custom import tools specifically to digitise years of existing spreadsheets and documents, migrating the historical fleet and tyre data into the new system rather than asking the client to start from zero. That is legacy and data integration in practice, respecting the years of real operational history already sitting in old formats, and bringing it forward into a system that can actually be trusted and built on.
